This web-site is designed to help you administrate a football club by combining the convenience of the internet together with a powerful database engine. By using this website a number of administrative tasks will become easier, for example, the central maintenance of registration details of club members or the communication between club members. Both these administrative tasks are made simpler using this website; members can update their own registration information and the email features allow groups of people such as teams, player groups or coaches to be emailed in one go.   • Security: We take the protection of Your privacy and personal data very seriously. Each online club is secured with its own unique club login name and password. Furthermore each member has their own unique login username and password. The Security Protected Area requires two correct passwords before access is granted (unless registering in a club or creating a new online club). There are proactive measures in place to protect against attempts at hacking and unauthorised access to data without these verified Online Club specific and Registered User specific authenticated passwords. Once access is gained to the Security Protected Area, personal data is only available to You if it is Your personal data or Your child's personal data of whom You are a guardian, or You are a privileged user in Your online club. You can change Your password or the password of a child of whom You are a Guardian at any time. See our Privacy Policy for further complete details.
  • Data Protection: The personal data provided to Us and in relation to the services offered by Us is collected and processed by Us and/or Our agents.   • Player Registration: Each player has access to and can update their own registration details online. Registration details include contact details, medical details, permissions etc.
  • Login Accounts: Every member of your online club has their own personal login account. This account gives them access to all the information held for them including registration information, team membership etc. A member also has restricted access to the following screens: email, news and diary, venues, club contacts, coach accreditations, accounts and fixtures.
  • Guardian Accounts: Guardian accounts allow a parent or guardian to manage multiple child accounts from one login for convenience. A child account may have more than one guardian account.
  • Privileged Users: A club has privileged users. Privileged users are members who in addition are also a coach and/or a committee member and/or a club role and/or an administrator. Privileged users have access to special administrative screens which are not available to normal members.
  • Club Roles: A club may have many roles, for example Chairman, Treasurer, Fixtures Secretary. Roles are easily setup and are fully configurable. Roles are generally very useful as members can communicate by email with roles rather than personal email addresses. This isolates the member from any administration changes in the club or email address changes etc.
  • Club Role Special Access: Roles are useful for controlling access to data sensitive screens in your online club. Once a club has chosen their roles, then members or contacts of the club are associated with a club role. Sensitive screens of your online club are in security protected directories. Only members of the role associated with restricted screens will have access to, and functionality in, that restricted screen. Note that an administrator has full access to all screens, irrespective of role.
  • Club Role Tasks: Tasks can be assigned to individual club roles to alleviate the administration of your club. For example the treasurer role could handle and have special access to all the registrations and payment history of all members of your club or the club secretary could be responsible for managing membership. Furthermore all club members may send email to roles as opposed to personal emails. When the role is emailed for example, all members and contacts associated with the role automatically receive the email.
  • Email: Every member of your online club has use of the club email. They can email any of the coaches or roles in the club. Privileged users of the club have access to the full club email. The full club email allows for communication with whole teams, player groups, committee groups, club roles or the whole club in one go. The full club email is fully configurable. Emails may be sent either from your club role or from your own personal login account email. Sending an email to a selected group, individual coaches, a team, a player group or even the whole club could not be more straight forward!
  • Intelligent Email: When an email is sent to a member, it is also sent to any email addresses associated with the member in their registration details. Registration details allow for 5 additional emails to be associated with an individual member login account.
  • Duplicate Emails Removed: When sending an email to multiple recipients, the email system will automatically remove duplicate email addresses - this guarantees that any one email address does not receive the same message multiple times. Doubling up of email addresses can easily occur as any one member may be in multiple club roles.
  • Player Groups: A club may have many player groups. A player group could be a yeargroup eg. 'Under 12s'. Members of the club are then allocated to a player group by a club role. Player groups may be emailed in one go by privileged users. Coaches are assigned to individual player groups and use the members of their player group in their team selection for a particular fixture.
  • Coaches: Every club will have coaches. Coaches are assigned to player groups and have the capacity of team selection for particular fixtures. Coaches may be assigned to more than one player group. A coach may choose a default player group and therefore will be given a special quick navigation link in the club for fast access.
  • Contact And Medical Printouts: Coaches may print out a concise summary of medical and contact details for either a team or a player group. This is useful for taking along to matches or training.
  • Export Raw Data: Data may be retrieved from your online club for teams, player groups and the whole club. This data is in a simple delimited format which may be imported into most word processor or spreadsheet programmes.
  • Coach Accreditations: Every member will have read access to the coach accreditations screen. This lists all the coaches in the club with courses taken and accreditations gained with dates (including expiry). The accreditations are managed by a club role.
  • Fixtures: Fixtures of the club are entered or setup by a club role for individual player groups. Coaches allocate teams for individual fixtures. If a member is in a team or has children in a team then they will be able to view the fixture details (description, date, venue, other members of the team)
  • Import Fixtures: Fixtures may be imported from the league results service on www.onlygoals.com. This keeps all fixtures for a player group in synchronisation with league fixtures.
  • Match Reports: Match reports may be written by any member who played in a match or had children in a match. Match reports have a special import facility which automatically adds the details of a match (fixture details, names of team members, date and venue etc.) as a starting point for writing the report.
  • Match Report Email: The match report may be emailed to a list of preconfigured recipients including club roles and contacts. The writer of the report can then email the report to all these recipients in one go.
  • Committee Groups: A club may have many committee groups. Each committee group member has special security access to their own bulletin board and email. Committee groups are setup by the club administrator.
  • Club Diary And News: Every member may view the club diary and news. This is the first screen displayed straight after login and so is a good place for club announcements etc. The diary and news is managed by a club role.
  • Club Contacts Database: Every member has read only access to the clubs contacts database. Club contacts may include local councils, local press, emergency numbers, police, training companies, sponsor details, insurance companies etc. The contacts database is managed by a club role.
  • Venues: Every member has read only access to a list of club venues. Each venue has detailed address and directions and also intelligent links to streetmap.co.uk for detailed maps of location. The venues are managed by a club role.
  • Payment History: A summary of member's fees paid and who owes what is available on one screen. Fees paid may be configured and reset to zero at the beginning of a season. This information is printable or available in raw form for export to word processor or spreadsheet programmes. The payment history is managed by an allocated club role.
  • Member Management: All members may be managed together from one screen. This information is printable or available in raw form for export to word processor or spreadsheet programmes. New member accounts may be created here. This member management screen is available to an allocated club role and the club administrators.
  • Registrations: Registrations of all the members of your club may be managed together from one screen. New member accounts may be created here. This screen is designed for quick entry of registrations together with the creation of new member accounts. This registration screen is available to an allocated club role and the club administrators.
  • Filtering: Obviously a large club may have several hundred members. Rather than displaying long lists of member details, every screen which views large numbers of members has a filtering facility to allow the user to choose a sub set of members to view.
  • Link To/From Other Web Sites: Obviously your club is highly secure and therefore is not accessible directly from other web sites without the appropriate passwords and user names. However the administrator of the club may design a read only public area with description of club, address, contacts, emails and club news as well as venues. This public area is fully configurable.
